Backup loan servicing: a plan for the day your servicer can't continue

A servicer can be sold, lose a license, exit a loan type or run out of room for your loans. Lenders, schools and credit unions that plan for it name a backup servicer and test the handoff before they need it. UAS, a TSI company, is built to take a portfolio on.

As of November 2026, a backup loan servicer is a servicer named in advance to take over a loan portfolio if the current servicer can't continue. UAS, a TSI company, services loans for colleges, universities, credit unions and specialty lenders on its UAS Connect platform, and can be named as backup or successor servicer for the loan types it services, with the portfolio mapped and tested before any transfer.

Results vary by loan program and portfolio.

Why lenders and investors name a backup

Servicing is the part of a loan program borrowers touch every month: statements, payments, account changes, credit reporting and delinquency notices. If it stops, payments go unposted, borrowers get wrong bills and credit files report people late who paid on time.

The usual causes aren't dramatic. The servicer is sold and the buyer drops a loan type. It loses a license or a key client and shrinks. Its platform reaches end of life. Each one leaves the loan owner choosing a new servicer under a deadline.

That's why loan sale agreements, credit facilities and securitizations often require a backup servicer, and why lenders without that requirement name one anyway. The SEC's Regulation AB asks asset-backed issuers to describe servicers and what happens if one is replaced.

Cold, warm and hot backup

Backup arrangements are usually described by how ready the backup is to take over. The exact terms are set in each agreement.

Level What the backup does before a transfer Takeover speed Ongoing cost
Cold Signs the agreement, reviews the loan program and data layout, and keeps contacts current Slowest: the data is mapped and boarded after the trigger Lowest
Warm Maps the data in advance and loads test files on a schedule, so conversion programming is already written Faster: most of the work is done before the trigger Moderate
Hot Runs a copy of the portfolio in parallel, reconciled to the primary servicer Fastest Highest

Most loan owners pick cold or warm. Hot backup suits programs where a gap of even a few weeks would break a funding or investor requirement.

What UAS does as backup or successor servicer

  • Reviews your program now

Loan types, repayment terms, deferment and forbearance rules, fees, credit reporting and borrower communications, written down while your current servicer is still running.

  • Maps your data

Field names, data dictionary and image files matched to UAS Connect, with exceptions listed, so conversion programming isn't written under a deadline.

  • Boards the portfolio

Loan data and image files transmitted to UAS Connect and checked automatically. UAS writes the conversion programming, and conversion specialists work with your staff through the move.

  • Services every loan the same way

Statements, payments, account changes, credit reporting, borrower calls and delinquency notices, on your program's rules and in the name you choose within your contract.

  • Reports to you

Online access to the portfolio and regular reports, so you can oversee UAS the way your auditors or examiners expect you to oversee any servicer.

How a transfer runs

  1. Trigger

Your current servicer gives notice, misses a contract requirement, or you decide to move.

  2. Data and documents

The outgoing servicer sends loan data, images and payment history. Mapping done in advance shortens this step.

  3. Test and reconcile

Test files are boarded and balances, statuses and payment histories reconciled to the outgoing servicer's records before cutover.

  4. Borrower notice and cutover

Borrowers are told who services their loan and how to pay, payments are redirected, and servicing starts on UAS Connect.

  5. Stabilize

Exceptions are worked down, early-cycle statements and payments are checked, and you get a post-conversion reconciliation.

Questions buyers ask

What is a backup servicer?

A backup servicer is a loan servicer named in advance, usually in a written agreement, to take over servicing a portfolio if the primary servicer can't continue. It's common in loan sales, credit facilities and securitizations.

What's the difference between a backup servicer and a successor servicer?

A backup servicer is named before anything goes wrong. A successor servicer is whoever takes over servicing after the primary servicer stops. Often the backup becomes the successor.

What's the difference between cold and warm backup servicing?

A cold backup signs the agreement and reviews the program, then maps and boards the data only after a trigger. A warm backup maps the data and loads test files in advance, so it can take over faster.

How long does it take to transfer loan servicing?

It depends on the portfolio size, the loan types, how clean the data is and how much was mapped in advance. Ask any servicer for a written conversion plan on your own portfolio before you rely on a timeline.

Which loans can UAS service?

UAS, a TSI company, services institutional and Perkins loans for colleges and universities, member loans for credit unions across a range of loan types, tuition payment plans and loans for specialty lenders. The Servicing Continuity Review confirms which of your programs fit.

Do borrowers have to do anything when the servicer changes?

They get a notice telling them who services their loan and how to pay. Autopay and online access may need to be set up again on the new servicer's platform, and the notice says how.

Find out what a transfer would take

The Servicing Continuity Review is a 30 to 45 minute working session on your loan program, followed by a written readout: what boarding your portfolio would take, what UAS would need from you and what it can't take on.
